    Scheduling Coordinator is responsible for creating a schedule for residential/commercial job orders placed and assigning them to insulation crews to complete. Also coordinate and maintain all job order paperwork from start to finish.

    Responsibilities

    • Scheduling of all jobs for the branch
    • Communicate daily on contracts, billing information with builders
    • Assist with incoming calls and supports receptionist
    • Collaborates with builder, salesman and insulation crews on the status of each job order
    • Responsible for collecting, checking and organizing and documentation regarding incoming and outgoing job orders
    • Creates a daily insulation crew schedules per each work order
    • Track installers squares footages of insulation installed each day
    • Track and maintain DOT information per trucks and insulation installers
    • Communicates effectively with builders and salesman daily per the status of each job status
    • Types various memos, correspondence, reports and other documents
    • Miscellaneous office duties including, but not limited to, filing, data entry, purchasing office supplies, processing ingoing/outgoing mail
    • Cross train on other office administrative roles

    Qualifications

    • Proficient in Microsoft office products including word, excel, Power-Point and outlook.
    • Excellent verbal and written communication skills
    • Excellent data entry skills
    • High School Diploma or GED, required
    • 1-3 years of previous receptionist/ administrative assistant experience in construction industry or related field
    • Experience with AR, AP, billing and payroll processing experience a plus
    • Must be honest, reliable and dependable and have a positive attitude
    • Must be able to work independently or with others in a team environment
    • Able to multitask and manage multiple tasks simultaneously
    • Operate general office equipment for example; fax machine, copier, scanner and etc.
    • Must be able to meet deadlines and prioritized work based on urgency
    • Must be able to work in a fast-pasted environment
    • Fluent in Spanish a plus
    • Registered Notary a plus

    Position requires a Drug Test to be completed, contingent upon employment and a Background Check if applicable.

    • Operate general office equipment for example; fax machine, copier, scanner and etc.
    • Must be able to meet deadlines and prioritized work based on urgency
