We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. In this role, you will provide essential administrative support to ensure the efficient operation of our office. The ideal candidate will have excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving.
Responsibilities:
- Greet and assist visitors, clients, and employees professionally and respectfully.
- Answer and direct phone calls, take messages and handle inquiries.
- Maintain and update electronic and physical filing systems.
- Process and distribute incoming and outgoing mail and packages.
- Assist in preparing financial documents, such as invoices
- Perform general administrative tasks, such as photocopying, scanning, and data entry.
- Collaborate with other team members to support projects and initiatives as needed.
Preferred Qualifications:
- High school diploma or equivalent; additional certification or training in office administration is a plus.
- Experience with billing and payroll
- Ability to assist with scheduling
- Experience as an administrative assistant or in a similar role.
- Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion.
- Professional and friendly demeanor with the ability to interact effectively with individuals at all levels.
